Creating Time: What If You Had More Time?




Ever wonder what you’d do if you had more hours in the day? Imagine being more productive, working less, and getting paid more. Sounds like a dream, right? Welcome to the magic of organizational psychology. As an organizational change coach, I'm all about making that dream your reality by mastering operational efficiency.


When you start organizing tasks, prioritizing, planning, and evaluating your operations, you can seriously get more done in less time. It might sound simple, but trust me, that's where a coach like me comes in. Let me tell you about Bill. Bill had this amazing product but was all over the place with deadlines and communication. He was stuck in a routine that wasn't doing him any favors.


So, we teamed up. I whipped up a plan to get him back on track, but it wasn't just about the plan—it was about breaking those old habits. We dug into what really motivated him and made small, impactful changes. And guess what? Bill saw a 15% boost in sales and finally got his weekends back to enjoy life.

Here are five steps to tighten up your operations, get organized, and level up your time management game:


Evaluate Your Routine:

  • Self-Assessment: Take a good look at your daily and weekly tasks. Are you organized? Are you meeting deadlines and goals? Identify areas where you're wasting time or could be more efficient.

  • Time Tracking: Keep a log of how you spend your time for a week. This will help you see where your time goes and identify patterns.

Make a List:

  • Prioritize Tasks: Write down everything you need to do and rank them by importance and urgency. Use tools like the Eisenhower Matrix to decide what to tackle first.

  • Set Time Expectations: Estimate how long each task will take and set realistic deadlines. Break larger projects into smaller, manageable tasks.


Plan:

  • Daily Schedule: Plan your day the night before. Use a planner or digital calendar to schedule tasks, appointments, and breaks. Make sure to include buffer times between tasks to account for unexpected delays.

  • Time Blocking: Allocate specific blocks of time for different types of tasks (e.g., emails, meetings, focused work). Stick to these blocks as much as possible.


Prepare:

  • Get Ahead: Spend some time prepping for your day. This could include gathering materials, reviewing notes for meetings, or doing background research.

  • Organize Your Workspace: Keep your workspace tidy and organized. A clutter-free environment can improve focus and efficiency.

  • Batch Processing: Group similar tasks together (e.g., making phone calls, answering emails) to minimize context switching and save time.


Revisit:

  • Review and Reflect: At the end of each week, look back at what you’ve accomplished. What went well? What didn’t go as planned? Use this information to adjust your approach.

  • Continuous Improvement: Identify areas for improvement. What tasks can be automated or delegated? What can be eliminated altogether? Regularly refining your process will help you stay efficient and productive.
